    POSITION: Administrative Assistant/Office Support Specialist

    The Keizer (Oregon) Chamber of Commerce is searching for a community minded, business professional to support the varied activities of the Keizer Chamber of Commerce and Keizer Visitor’s Center. Bilingual Spanish/English (verbal/written) applicants will be given preference but is not required.

    Our Mission: The Keizer Chamber of Commerce is a working partnership of business, government and community volunteers who coordinate their efforts for the purpose of advancement and development of the greater Keizer area. The primary objectives of the Chamber are:
    • Coordinate the efforts of commerce, industry, and professionals in maintaining and strengthening a healthy business climate.
    • Sponsor programs and stimulate activities which will provide for full development and employment of our human and economic resources.
    • Provide creative business leadership and effective coordination of all interested parties in solving community problems and initiating constructive community-based actions.
    • Create broad understanding in and appreciation of the opportunities in the greater Keizer area and to promote the advantages and assets of our community within the region and state.
    Definition of Position: The Administrative Assistant is to provide support to the Executive Director in tasks associated with the needs of the organization.

    Job Duties:
    • Answering phones, Opening/Closing Chamber/Visitor’s Center Office (track/log info)
    • Event planning including but not limited to providing support to the assigned event coordinator(s). Responsibilities may include (and vary depending on the event), booking the venue, advertising/marketing, inviting attendees, receive/track reservations, and attendance, ordering food, arranging activities, working with vendors and volunteers, organizing sponsorships, adhering to a budget, and setting up/tearing down the event.
    • Process weekly eNews subscription lists
    • Process all initial submission from members, solicit sponsors, update announcements as directed by the Executive Director or designee.
    • Prepares reports as directed and requested by the Executive Director including staff reports, board reports, event/program reports and attend meetings as requested.
    • Document creation & data entry
    • Serve as staff to action teams (committees) as assigned by the Executive Director.
    • Duties vary by action team, but usually include: o Working with the chair to schedule meetings.
      • Taking minutes/attendance during meetings to distribute afterward to members.
      • Preparing articles for the eNews regarding action team activities.
      • Ensuring rosters and activities are in alignment with Chamber By-Laws.
      • Serving as general liaison between action teams and Chamber staff/board members.
    • Production and editing for the weekly eNews as well as social media posts and representation of the organization.
    • Work alongside the Executive Director to produce The Directory to include communicating with vendors.
    • Office Management:
      • Responsible for materials in the Visitors Center and Retail Center including displays.
      • Manage and schedule the use of the Conference Room.
      • Janitorial weekly (or as needed).
      • Communicate to the Executive Director when office/item repairs are needed.
    Other Job Functions
    • Assist in meeting overall goals for signature Chamber events: Holiday Lights Parade, First Citizen Banquet, KeizerFEST, Fun Runs, Holiday Given Baskets, etc.
    • Updates to various sections of Chamber website and social media on a regular basis and develop additional features.
    • Maintain a sense of humor and ability to be flexible under moments of change.
    • Other duties as directed by the Executive Director.

    Must be able to lift up to 35 lbs.
    Must be able to legally operate a motor vehicle.
    Must be able to sit 70%, stand 20%, and walk 10% of the workday.
    Must be able to operate a personal computer, smart phone, tablet or similar devices.

    Salary: $15/hr. - $17/hr. Depending on Qualifications

    Benefits: medical insurance allowance, SEP, mileage reimbursement, paid holidays, paid vacation, paid sick leave, unpaid family medical leave and approved chamber related expense reimbursement.

    Position: Full Time
