    Job Description
    Seeking a part-time Membership Coordinator to join the Canby Area Chamber of Commerce team!
     
    The Canby Area Chamber of Commerce has been supporting our local business community since 1911.  We have approximately 250 member businesses with nearly 600 individual employees who support the greater Canby community every day.
     
    We are seeking a Membership Coordinator to add to our team.  The ideal candidate will be responsible for handling membership invoicing, receiving and processing payments, tracking attendance and sponsorships for our various events. This role requires strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously with support from the Chamber staff, Board and volunteers.
     
    The ideal candidate is an energetic, proactive, self-starter with excellent communication and interpersonal skills.  Must be able to lift 30 pounds and carry items up and down stairs.
     
    This hourly position works from 9am – 5 pm, three (3) days per week with 1 hour for lunch from 12pm – 1 pm. Occasional weekends and afterhours depending on events. 

    Required Qualifications:

    • 2-5 years' experience in customer management and customer service.
    • Proven ability to handle multiple projects simultaneously.
    • Strong organizational and time management skills.
    • Excellent written and verbal communication skills.
    • Ability to work independently and as part of a team.
    • Flexibility and willingness to work some evenings and weekends as needed.
    • Comfortable with being in the public eye.
    • Able to navigate challenging situations and pivot as needed.

    Desired Skills:

    • Experience with customer relationship management (CRM) software.
    • Knowledge of the local business community.
    • Payment processing and invoicing work.
    • Some cash and accrual basis bookkeeping experience using Quickbooks, Square, Stripe or similar software.
    • Proficient with MS Office Suite desktop and online (i.e. Word, Excel, Power Point)
    • Familiarity with Survey Monkey, Mail Chimp, Mozeo, Constant Contact, Adobe Acrobat Pro.
    • Experience with ChamberMaster or ChamberMate a plus.
    • Website building or management experience or willingness to learn.
    • Excellent social media skills including Facebook, Instagram, Tik Tok, YouTube, etc.
     
    General Duties and Responsibilities:
     
    • Supports Executive Director, Chamber staff, Board, and volunteers.
    • Receives, reviews, prepares and responds to e-mails.
    • Answers phones and responds to voicemails.
    • Professional and friendly demeanor when working with customers and community.
    • Ensures documents and filing are organized and secure at all times.
    • Invoices new or renewing members through our customer management system.
    • Invoices sponsors or event participants through our customer management system.
    • Accepts and processes payments through our customer management system.
    • Co-manages ACH payments – monthly payment processing through our membership platform.
    • Prepares and delivers new member welcome packets in coordination with Executive Director.
    • Using a checklist, onboards new members and provides cursory training on getting started.
    • Using a checklist, offboards lapsed members after Executive Director review & approval.
    • Tracks memberships and prepares weekly and monthly reports.
    • Monthly & Quarterly Board and Foundation Board Meetings:
      • Prepares new, lapsed member, and members owing reports (30-60-90 days).
    • Serves on various committees in the community or attends occasional meetings or events outside of regular hours.
    • Assist with advertising sales for annual community guide and other publications.
    • Helps to maintain office events calendar both in Outlook and on our website.
    • Sends event invitations to key stakeholders ensuring maximum participation.
    • Assist members with questions regarding membership benefits, renewals, and our member platform.
    • Provide log-in assistance to member platform.
    • Stock marketing materials outside and inside the office as needed.
    • Order office supplies as needed.
    • Stay up-to-date on industry trends and best practices.
     
    Creative Work:
    • Assists in sourcing and creating our annual community guide content.
    • Provides member renewal and new member information for bi-monthly newsletters.
    • Create new and renewing member and sponsorship “thank you” graphics for social media.
    • Assists with posting branded social media materials.
     
    Events:
    • Coordinate with volunteers and staff to ensure smooth event execution.
    • Help track and update event attendance, revenue, and expenses.
    • Help to boost membership recruitment and retention through event participation.
    • Manage calendars, event registration, ticketing, and attendee communications.
    • Monthly:  Luncheons, Good Morning Canby, First Thursdays, Board Meetings
    • Occasionally:  Quarterly Foundation Board Meetings, Ribbon Cuttings, The Happy Hour, Other Public Events
    • Annually:  Golf Tournament, Gala and Auction, Canby Dahlia Run
      • Assists Events & Marketing Specialist with details and logistics.
      • Develops and tracks donation and sponsor lists as needed.
      • Prepares materials and documents for check in.
      • Tracks registered/unregistered guests.
      • Greets and checks in guests.
      • Runs credit cards using Square.
      • Assists with event prep, set up and tear down/clean up.
      • Helps to recruit and trains as needed.
      • Helps run Chamber tent for First Thursday Events and during the golf tournament as needed.
      • Coordinate with Events & Marketing Specialist to ensure sponsorship fulfillments are fully met.
      • Assist with procurement of raffle items for events.
     
    Benefits:   Sick Leave accrued at .033 hours per hour worked and accrued leave can be used after 30 days.
     
    Full time staff will have paid holidays as follows:
    New Years Day
    Memorial Day
    Independence Day
    Labor Day
    Thanksgiving Day and the day after
    Christmas Day
     
    There are also two (2) floating holidays – choose a day from the federal holiday list to take a day off on a day we don’t close the office such as Veterans Day or for a birthday.
     
    Some remote work possible with supervisory approval.
